Who we are

This page explains how you can request deletion of your personal data held by Provilex for the portal at portal.provilex.co.uk. For general privacy details, read our Privacy Policy.

How to request deletion

You can submit a deletion request in either of the following ways.

Send an email to admin@provilex.co.uk with the subject line Data Deletion Request. Include the following.

• Your full name
• The email address used on your Provilex account
• Any relevant IDs, for example customer ID or order ID
• Confirmation that you want us to delete your personal data

Tip If you sign in through a third party identity provider, include that detail, for example Facebook Login or Google Sign In.

Special instructions for Facebook or Meta users

If you authenticated using Facebook Login, you can request deletion in following way.

1. Email admin@provilex.co.uk with the subject line Facebook Data Deletion Request. Include your full name, the email on your Facebook account, and your Facebook user ID if available.

What we delete

When we process a verified deletion request, we will remove or irreversibly de identify personal data that we control for your account. This typically includes the items below.

• Account profile data, for example name, email, phone
• Customer records and preferences that are tied to your identity
• Activity logs that are linked to your account, except security logs required for legal reasons
• Files or content you uploaded, unless we must retain a copy for legal reasons

What we may retain

We may keep a limited set of records where retention is required or permitted by law. Examples include the items below.

• Financial transaction records and invoices, retention follows tax and accounting laws
• Security or fraud logs, retention for system integrity and legal defense
• Backup copies that will expire on a rolling schedule, backups are not actively used
• Data we process on behalf of a business customer, retention follows our contract with that customer

Identity verification

To protect your data, we must verify your identity before we delete records. We may ask you to confirm control of the email address on your account, or to provide additional details that match our records.

Timeline

• We acknowledge your request within 7 days
• We complete verified deletion within 30 days, complex cases may take up to 60 days
• We will notify you when deletion is complete

Third party services

We use service providers for hosting, analytics, payments, and communications. When we delete your data, we also instruct relevant processors to delete corresponding records where applicable. Some providers maintain their own legal retention periods.
